Shopify VAT on payouts: finding the tax in each payout (UK)

The payout report shows a net total, not the VAT inside it. Here's why VAT-registered UK merchants can't just read it off, and how to reconcile it cleanly.

A plain-English guide for UK VAT-registered store owners

The short version: Shopify payouts don't break out VAT. The payout is net of fees and refunds, and UK/EU processing fees are themselves VAT-inclusive, so the deposit never matches the tax you collected. You reconcile at the payout / balance-transaction level, not order by order.

Why the payout total is useless for your VAT return

The number that lands in your bank is gross sales minus fees, minus refunds, adjusted for reserves and FX. VAT was charged on the gross order. So the deposit is several deductions away from the tax you actually collected — reading VAT off the payout is impossible.

The wrinkles that trip up UK sellers

How to reconcile it cleanly

Work from the Payouts → Transactions export, not the summary. Every row is typed, so you can tie the payout out to the penny and line the gross sales up against the VAT in your tax report for the same window — instead of hand-totalling orders each month.

See it on your own payout

NetClear rebuilds each payout from your export and tells you in plain English exactly where every pound went — reserves, fees, refunds and all.

Frequently asked

Does Shopify show the VAT collected in a payout?

Not on the payout summary. The payout shows a net total, not the tax inside it, so VAT-registered merchants have to work it out from the orders that fall inside each payout window.

How do I work out the VAT collected per payout?

Match the orders in each payout window to your tax report for the same dates, or work from the Payouts → Transactions export and reconcile it against tax collected. The awkward part is the timing: refunds and prior-period orders shift the boundary.

Why doesn't my payout match the VAT I owe?

Because the payout is net of fees and refunds while VAT is charged on the gross sale, and UK/EU processing fees are themselves VAT-inclusive. The deposit that hits your bank is several steps removed from the tax you actually collected.

Are Shopify processing fees VAT-inclusive in the UK?

Yes — for UK and EU merchants the Shopify Payments processing fee is generally VAT-inclusive, so you book it gross. That's one more reason the bank deposit never lines up cleanly with VAT owed.
